Team Folders

Zoho WorkDrive organizes shared documents into team folders with member access levels. A Beam agent reads folder contents and permissions, and when a file arrives or changes, applies the rule, filing it in the right folder, tagging it, or notifying the owner. Files landing where they belong need no help. A document dropped in the wrong team folder, one shared more widely than policy allows, or a file type the rule does not cover is flagged for a person, so access and filing mistakes are caught before a sensitive document sits somewhere it should not.

File Activity

Zoho WorkDrive records who created, edited, moved or shared each file. A Beam agent reads this activity stream, applies the account's rule, and acts on relevant events, for example updating a linked record when a contract folder gains a signed file or alerting an owner to an unusual share. Ordinary activity passes without comment. A file shared externally against policy, a bulk deletion, or edits from an unexpected account are escalated to a person, so a suspicious or high-impact action gets a human look rather than being recorded and forgotten.

Document Collaboration

Teams draft and co-edit documents inside Zoho WorkDrive, leaving comments and versions along the way. A Beam agent reads a document's status and comments, applies the rule, and moves it forward when it is marked final, such as filing an approved document or notifying the next reviewer. Documents progressing normally are handled quietly. A file with unresolved comments, conflicting versions, or one marked final without required sign-off is routed to a person, so a document is not treated as done while an open question or missing approval still hangs over it.
