Alerts that would reach a wide audience, mention sensitive figures, or repeat an existing thread are handed to a person, who approves the wording first, so the channel stays useful and the team is not flooded with noise that trains people to ignore it.

Direct message routing

Zoho Cliq direct messages reach individuals quickly. A Beam agent reads an incoming task or request, applies your approved rule to find the right owner, and sends that person a direct message with context and next steps. It updates the source record to show who was contacted. Requests with no obvious owner, after-hours pings to senior staff, or messages touching personal data are handed to a human, who decides the right recipient and timing, since a misdirected direct message can either stall the work or interrupt someone who should not have been pinged.

Task creation from chat

Zoho Cliq supports tasks and reminders alongside conversation. A Beam agent reads a message that asks for follow-up, applies your approved rule to capture the action, owner, and due date, and writes a task back into Cliq or a connected tracker. It then confirms the item in the thread. Vague asks, jokes mistaken for requests, or actions that carry real commitments are handed to a person, who confirms the task is genuine before it lands on someone's list, so the board reflects real work rather than every passing comment.
