Session and resource planning

YoPlanning lays out activities, guides, equipment, and time slots on a shared calendar. A Beam agent reads new bookings and staff availability, applies the assignment rule you approved, and updates the schedule so each session has a qualified guide and the gear it needs. Simple, unambiguous fills are written straight in. Double bookings, a session with no available qualified staff, or a resource conflict are never forced through; they are held and routed to a planner, because an activity that goes out with nobody to run it damages the customer far more than an empty slot on the board.

Booking management

Customers reserve places on activities, and those reservations flow into YoPlanning. When a booking arrives or changes, the agent reads the party size and requested slot, applies your capacity rule, and updates availability while confirming the reservation to the organizer. Cancellations free the seats back up the same way. Overbookings, special access requests, or payments your rule cannot verify are set aside for a person to handle, since promising a spot the schedule cannot actually honor is the kind of mistake a customer remembers and repeats to others for a while.

Staff roster assignment

Guides and instructors carry skills, certifications, and working hours in YoPlanning. A Beam agent reads the roster and each session requirements, applies your matching rule, and assigns staff whose qualifications and availability fit, updating the roster and notifying those scheduled. Straightforward matches are placed automatically. Cases where nobody qualified is free, where hours would break a rest rule, or where a certification is close to expiry are flagged for a person, because putting an unqualified or overtired guide on a session is a safety question, not a scheduling convenience anyone should rush.
