Member records

WildApricot stores contacts, membership levels, and renewal dates for your organization. When a member joins, renews, or lapses, a Beam agent reads the contact record, applies your approved rule for the membership level and status, and updates the fields accordingly. It writes a note about what changed and can notify the member. Routine status changes happen without staff involvement. Cases that conflict, such as a paid renewal on a record marked lapsed, are handed to a person with the fields the agent compared. Your team keeps the final say on membership standing and level.

Event registration

WildApricot runs events with registrations, tickets, and attendee lists. As registrations come in, a Beam agent reads each one, confirms the ticket type and payment state against your rule, and updates the attendee record or waitlist. It writes confirmation details back and can send the registrant their next steps. Standard sign-ups process cleanly. Registrations with payment problems, capacity conflicts, or special-access requests are routed to an organizer. A person decides how to seat those attendees before the agent finalizes anyone on the confirmed list for the event.

Renewal reminders

Memberships in WildApricot carry expiry dates that drive renewals. On the schedule you set, a Beam agent reviews upcoming and overdue renewals, reads each member's history and level, and applies your reminder rule to prepare the right outreach. It records the reminder against the contact and can notify the member about their renewal window. Members already renewed or comped are skipped. Anything unusual, like a lapsed board member or a disputed fee, goes to staff instead of an automatic reminder. Someone confirms how to handle those accounts before any message goes out.
