This creates and holds time slots for meetings. A Beam agent reads availability in Vivocalendar, applies your booking rules, and confirms a slot when a request meets them, writing the appointment and attendee details into the calendar. Buffers, working hours, and limits you set are respected. A confirmation can be sent to the attendee and the record updated. Requests that clash with existing holds, or that ask for time outside your rules, are routed to a person to approve or offer an alternative instead of forcing a booking through.

Reschedule handling

This moves an existing appointment to a new time. A Beam agent reads a reschedule request against the current Vivocalendar booking, checks fresh availability, and updates the appointment when the new slot fits your rules. Both the old and new times are recorded, and the attendee is notified of the change. Related reminders are adjusted automatically. When a request would push a meeting past a deadline, collide with another booking, or repeat too many times, the agent hands it to a person to sort out with the attendee directly.

Reminder dispatch

This sends notices before an appointment so fewer are missed. A Beam agent reads upcoming Vivocalendar bookings, applies your timing rules, and sends reminders through the channel you chose, marking each one as sent on the record. Replies asking to cancel or move can open the matching action. No-shows can be recorded for follow-up. When an attendee replies with something the rule does not cover, a special request or a complaint, the agent forwards the message to a person rather than answering on its own.
