Task Dispatch and Assignment

A task in Tookan represents a pickup, delivery, or service visit assigned to a field agent. A Beam agent creates or edits these tasks when an order arrives, reads agent availability, and applies your rule for who gets the job based on zone and load. The assignment is written back and the agent is notified through Tookan. Orders with an address the system cannot place, a time window nobody can meet, or special handling needs are routed to a dispatcher, who assigns them by hand and keeps the board accurate for everyone downstream.

Live Agent Tracking

Tookan reports each agent's location and task progress as they work through a route. A Beam agent reads this status, compares it against the promised time, and updates the order record so support can see where things stand. When an agent is running late past a threshold you set, the customer or a supervisor is notified. Cases where an agent has stopped moving, skipped a task, or gone off route are handed to a person, since a stalled delivery usually needs a phone call and a decision the agent should not make alone.

Delivery Status Updates

Every task carries a status, from assigned through started, arrived, and completed, with timestamps at each step. A Beam agent reads these transitions, writes them onto the matching order in your other systems, and applies your rule about what each change triggers, such as sending a proof-of-delivery note when a task is marked done. Tasks that jump straight to completed without the usual steps, or that get marked failed, are routed to a person, who confirms what actually happened on the ground before the customer record is closed.
