Prepare ShipStation orders and update tracking records, automating fulfillment steps like batching shipments and applying carrier rules.
Order import and tagging
As orders arrive in ShipStation from your stores and marketplaces, an agent reads each one, including items, destination, and buyer notes. It applies your rules to tag orders, assign them to the right store or warehouse view, and set a shipping preset. Orders that match a clear rule are tagged and queued to ship. When an address looks incomplete, an order carries a note asking for special handling, or items map to conflicting presets, the agent holds the order and routes it to a fulfillment owner, who resolves the detail before the order moves into a shipping batch.
Batch label preparation
For a group of ready orders, an agent reads the shipping preset, weight, and service on each, then prepares the labels in ShipStation as a batch. It applies your carrier and packaging rules, records the cost and tracking on every order, and marks the batch ready to print. Batches where all orders fit your rules are prepared without review. When an order in the batch exceeds a weight limit, needs a service your rules exclude, or returns a rate far above expectation, the agent pulls that order out and asks a person to handle it separately, leaving the rest of the batch clean.
Tracking writeback and notices
After labels are made, an agent reads the tracking numbers ShipStation assigns and writes them back to the originating order in your store, then updates status as carriers report progress. It applies your rules to notify buyers at the points you choose and to close orders on delivery. Normal shipments flow through on their own. When tracking never activates, a package is marked delivered but a buyer reports otherwise, or a shipment returns undelivered, the agent flags the order and hands it to a support owner to follow up with the carrier or customer.
