Podio structures work as items inside custom apps, each with its own fields. A Beam agent watches a source, a form, an email, or another system, reads the incoming details, and adds an item to the right Podio app with fields filled per your mapping. It links related items and sets the initial status. Inputs missing a required field, matching an existing item, or bound for an app that needs sign-off are held and flagged to the workspace owner, so a person resolves the gap before a half-formed record lands in the team's pipeline.

Workflow Stage Progression

Items in Podio move through stages your apps define, from intake to done. A Beam agent reads updates on an item, checks whether it meets the criteria for the next stage, and advances it when your rules are satisfied, updating status fields and notifying the next owner. It records the move in the item's activity. Items stuck on a condition, missing an approval, or eligible for a stage that carries a financial or contractual step are routed to a person, who makes the judgment call before the item progresses.

Cross-App Record Linking

Podio apps relate to one another, so a deal links to tasks, contacts, and files. A Beam agent reads a changed item, finds the related records your structure expects, and keeps them consistent: it updates a linked contact, opens a follow-up task, or reflects a status across apps under your rules. It writes each change into the affected items. Links that are ambiguous, point to conflicting records, or would cascade a change across many items are surfaced to the owner, so a person confirms the relationship before the agent propagates the update.
