File sync and sharing

Nextcloud stores files and keeps them synced across a team's devices. An agent watches a shared folder for new or changed files, reads the file details and location, and applies the handling rule your team approved, for example moving a document into a project folder or notifying its owner. It records what moved and when so the trail is clear. Files whose type or naming the rule does not recognize, or that look like they landed in the wrong place, are left untouched and flagged to the folder owner for a person to sort.

Shared folder permissions

Nextcloud controls who can view or edit each folder and share. An agent reads a request to grant or change access, checks it against the permission rule your team set, and updates the share where that rule clearly allows it, recording who was granted what. Requests that fall outside the rule, ask for access to sensitive folders, or would widen sharing beyond the team are held and passed to an administrator. Access to data is a decision people should own, so the agent narrows or escalates rather than opening a folder it is unsure about.

Share links

Nextcloud can publish a link so a file is reachable outside the workspace. An agent reads a link request, applies your rule on expiry and password, and creates or updates the link when the file and audience clearly qualify, noting the settings it used. Links to material marked confidential, or requests for an open link with no expiry, are routed to an owner instead of issued automatically. Because a public link exposes data beyond the team, the agent defaults to the safer setting and leaves broad sharing for a person to approve.
