Slot tasks into Motion, read calendar availability, and update project timelines, automating planning work like rebooking overlapping meetings.
Task auto-scheduling
Motion fits tasks into open calendar time around meetings and priorities. A Beam agent watches a trigger, a new task from a form or an email request, reads the person's Motion workload, and adds the task with the duration, priority, and deadline your rule specifies. It updates the task record and notifies the owner of the planned slot. When a deadline cannot fit the available time, when a task conflicts with protected focus blocks, or when priority is unclear, the agent stops short of committing and asks a person to confirm the placement first.
Meeting coordination
Motion books meetings and holds calendar slots for attendees. On a trigger such as an accepted request or a booked call, a Beam agent reads attendee availability, applies your rule for length and buffer, and schedules the meeting in Motion with the agenda attached. It notifies participants of the confirmed time. If attendees span time zones with no clean overlap, if a slot collides with an existing commitment, or if an external guest needs manual detail, the agent surfaces the options and routes the booking to a person to finalize.
Deadline rebalancing
Motion reshuffles schedules automatically when priorities shift. A Beam agent reads project deadlines and current load, and when a task slips or a new priority lands, it applies your rule and reorders the affected tasks inside Motion, then updates each record. It notifies owners whose timelines moved. Where a deadline is contractual, where rebalancing would push several people past capacity, or where the change touches a milestone others depend on, the agent pauses the reshuffle and hands a clear before-and-after view to a person, who approves the new plan.
