Document library updates
When a file arrives or a status changes, a Beam agent opens the SharePoint document library, reads the item and its metadata, and applies the approved rule for how it should be tagged, versioned, or moved. It updates the columns and notifies the owner. Files that fit the rule are handled without a wait. If the file type is unexpected, required metadata is missing, or the destination library is restricted, the agent stops and routes the item to a person, so sensitive content never moves to the wrong place on a guess.
List item management
Agents keep SharePoint lists current as work progresses. On an approved trigger, the agent reads the target list item, checks it against the rule, and updates fields such as status, owner, or due date. It leaves a note on what changed and alerts the assignee. Standard updates go through directly. Items that would close a record early, reassign work across teams, or overwrite a field someone edited moments earlier are paused and handed to a person, so the agent never quietly undoes a colleague's change.
Content lifecycle checks
On a set schedule, an agent reviews chosen SharePoint sites for content that has aged past an approved rule, such as documents with no owner or pages untouched for months. It reads each item, archives or tags the ones the rule clearly covers, and gathers the rest into a report. Low-risk cleanups apply automatically. Content that looks like a policy record, that is widely linked, or that sits in a sensitive site is left in place and escalated, because removing the wrong document is harder to undo than to prevent.
