Meeting note filing

After a meeting wraps, a Beam agent takes the approved summary, opens the right OneNote notebook, and writes a new page in the section the team has agreed on. It reads existing pages to avoid duplicates, applies the rule for naming and placement, and links the page where people expect to find it. Well-formed notes land automatically. If the notebook or section is unclear, the summary references a restricted topic, or a near-identical page already exists, the agent pauses and asks the owner where the note belongs rather than filing it in the wrong place.

Page search and retrieval

Agents look across OneNote notebooks when another workflow needs something a team wrote down, such as a decision, an action item, or a reference link. The agent searches the permitted notebooks, reads the matching page, and returns the relevant passage to the workflow that asked. It never edits during a search. When the search returns nothing, several conflicting pages, or content in a notebook the account may not open, the agent reports the gap and leaves it to a person to confirm the right source before anyone relies on it.

Notebook upkeep

On a schedule, an agent tidies chosen OneNote sections against an approved rule, moving finished pages to an archive, tagging pages by topic, and flagging notes that look outdated. It reads each page, applies the changes the rule permits, and records what it did. Routine housekeeping runs on its own. Pages that appear to hold important decisions, that many people link to, or that fall outside the rule are left untouched and listed for a person to check, so nothing meaningful gets archived or retagged by mistake.
