Contact record edits

Microsoft 365 People stores contacts with names, addresses, numbers, and other fields. A Beam agent reads a contact when a source system signals a change, applies your rules for which fields may update automatically, and writes the corrected values back to the contact. Standard updates, such as a new phone number from an approved feed, are applied without review. Changes to sensitive fields, conflicting values from two sources, or records missing required detail are flagged to a person, who confirms the edit before the agent commits it to the account.

Distribution and group lists

Microsoft 365 People organizes contacts into lists and groups your team uses for messaging and coordination. A Beam agent reads membership when a trigger fires, applies your rules for who belongs on which list, and writes additions or removals back to the group. Routine membership changes that match your rules run on their own. Requests to add someone outside the approved criteria, or to alter a restricted group, are routed to a person for approval. The agent keeps list membership current while people decide the cases that fall outside your defined rules.

Contact deduplication

Microsoft 365 People can accumulate duplicate contacts as records arrive from several sources. A Beam agent reads the contact set, applies your rules for what counts as a match, and merges clear duplicates so the directory stays clean. Obvious matches on your approved criteria are combined and recorded automatically. Pairs that only partly match, or merges that would drop conflicting details, are set aside for a person to confirm before anything is joined. The agent handles the routine cleanup, leaving uncertain merges to your staff so no real contact is lost.
