Advance a task's column in Jooto once its approved condition is met, then notify the assignee that the next step is ready.
Board Column Progression Rules
Jooto organizes work into board columns such as to-do, in progress, and done, with a card representing each task. A Beam agent reads a card's current column along with any linked checklist items or due dates, and applies the approved rule for when a card should move forward, such as every checklist item marked complete. Cards that meet the rule move to the next column and the assignee is notified the task is ready for its next step. Cards missing information, such as an unchecked item or no due date, stay in place and get routed to the assignee to complete first.
Due Date and Overdue Card Flagging
Every card in Jooto can carry a due date, and a board with many open tasks makes it easy for one to slip past its date unnoticed. A Beam agent reads open cards on a set cadence and applies the approved grace period for how many days past due a card can sit before it needs attention. Cards still within that grace period are left alone. Cards past the approved window are marked overdue on the board and the assignee and board owner are notified, while the decision to reassign, extend the date, or escalate the card is left to a person.
Assignee Workload Checks
Jooto shows how many open cards are assigned to each person on a board, which is useful for spotting an uneven workload before it becomes a problem. A Beam agent reads the count of open, in-progress cards per assignee on a set cadence and applies the approved threshold for what counts as too many, such as more than a set number of active cards at once. Assignees under that threshold are left as is. Assignees over the threshold are flagged to the board owner with the count, and the decision to reassign a card or adjust the workload is left to a person rather than made automatically.
