New Hire Account Provisioning

Google Directory holds every user account for a Google Workspace domain, including which groups and services each person can reach. A Beam agent reads a new hire record once HR marks a start date, sets up the matching Directory account using the naming pattern an admin has already approved, and adds the person to the groups their role calls for. It applies only group assignments already defined for that role. Requests for a role without a defined group set, or a start date that changes at the last minute, are sent to an admin to set up directly rather than guessed at.

Device Enrollment Checks

Directory tracks which devices are enrolled and allowed to reach a domain's data. A Beam agent reads a request for a new device to join the domain, checks the device type and the user's role against the policy an IT team has approved, and approves the enrollment when it fits an already permitted combination exactly. It denies nothing on its own. A device type not on the approved list, a user without the right role, or a request from an unrecognized location is sent to IT to decide whether to allow it.

Third-Party App Access Checks

Directory shows which third party applications a domain's users have granted access to their account. A Beam agent reads that list on a schedule an admin sets, checks each application against a list a security team already treats as approved, and notes any application not on that list. It never revokes access on its own. Applications outside the approved list, or ones requesting a wide set of permissions, are set aside in a report an admin looks at to decide whether to revoke access or leave it in place.
