Digital Form Field Population

GoFormz templates mirror a customer's existing paper forms, with fields for text, photos, and signatures that a mobile user fills in on site. A Beam agent reads a submitted form once it is marked complete and applies the approved rule for that template, for example checking that a delivery form has a signature and a photo of the received goods. It updates the linked record, such as a delivery or inspection log, and notifies the office when the form clears. Forms missing a required field, or with a signature that does not match the expected signer, get routed to a supervisor to fix.

PDF Report Generation

GoFormz converts a completed digital form into a formatted PDF report that mirrors the original paper layout, ready to file or send to a client. A Beam agent reads the generated report once a form is approved and stores it against the correct job or customer record according to the naming rule a customer has set. It notifies whoever needs the report next, such as billing or a client contact. Reports tied to a form still missing approval, or filed under an unclear job reference, get routed to a supervisor before the report goes out.

Approval Workflow Routing

A completed GoFormz submission often needs sign off from a supervisor before it counts as final, especially for inspection or safety forms. A Beam agent reads the form status and routes it to the approver a customer has assigned for that form type, based on job, location, or form category. Approved forms update the linked record automatically and trigger the next step in the workflow, such as releasing a payment or closing a work order. Forms rejected by an approver, or stuck without a clear next approver, get routed to a supervisor to reassign.
