Signature Request Routing

FlexiSign sends a document to one or more named signers and tracks who has signed and who hasn't. A Beam agent begins a signature request when an approved document, such as a finalized contract, is ready in a connected system, reads the signer names and order from that record, and sends the request through FlexiSign under the account's approved routing rule. The agent notifies the document owner once every signer has completed their part. Documents needing an added signer, a changed signing order, or a signer who declines get routed to a human to resolve.

Signing Status Reminders

FlexiSign holds a status for each signer on a document, showing who has viewed, signed, or not yet opened it. A Beam agent acts on a recurring schedule, reads which signers on an open document haven't completed their part, and sends the next reminder step under the account's approved follow up rule. The agent notes each reminder against the document record. Documents that pass an agreed deadline without every signature, or a signer who repeatedly doesn't respond, get routed to a human to decide whether to resend or cancel the request.

Completed Document Filing

FlexiSign returns a finalized, signed copy of a document once every party completes their signature. A Beam agent steps in when FlexiSign marks a document fully signed, reads the completed file, and saves it to the account's connected storage or record under the approved filing rule. The agent notifies the document owner that filing is complete and updates the source record's status. Documents with a signature that fails FlexiSign's verification check, or that need filing in more than one location, get routed to a human to confirm before anything is filed.
