Exhibit task checklists

ExhibitDay holds the task list an event team builds for a trade show, covering booth setup, shipping, and staffing deadlines in one shared plan. A Beam agent checks that list on a schedule, reading which tasks are due soon and who owns them, then sends a reminder to the assigned person following the timing the team has approved. It updates the task status once a reply confirms the work is done. Tasks with no clear owner, or ones repeatedly missed, get flagged to the event lead instead of being nudged again automatically.

Team assignment boards

Each exhibit task in ExhibitDay is assigned to a specific team member, so the board shows who is responsible for booth design, logistics, or staffing at a glance. A Beam agent reads those assignments to route reminders and status questions to the right person rather than the whole team. When a task changes hands or a new one is added, the agent can log the update against the record so the board stays current. Reassignments that look unusual, such as a task moved right before a show date, are left for the event lead to approve.

Show date countdowns

ExhibitDay counts down to each show date so a team can see how much runway is left for outstanding tasks. A Beam agent reads that countdown alongside the open task list and applies the timing rule the team has set, for instance escalating anything still open inside the final week before a show. It notifies the task owner and, if nothing changes, the event lead. Decisions about whether to drop a task, push the show date, or pull in extra help stay with the team rather than the agent.
