Event-Based Letter Mailing

DocuPost prints and posts physical letters when a matching event happens in a connected system, such as a new customer record or an overdue notice being due. A Beam agent reads the relevant data, applies the account's approved rule for which letter template and recipient to use, and submits the mailing through DocuPost. This replaces manually formatting, printing, and posting the same letter type by hand. Recipients with incomplete address data or a request outside the approved rule are routed to a person instead of being mailed automatically.

Postcard Campaign Fulfillment

For accounts that mail recurring postcards, such as reminders or promotional pieces, on a fixed cadence, a Beam agent reads the recipient list from a connected system and submits matching postcards through DocuPost according to the account's approved rule. This covers the routine work of queuing and paying for each mailing rather than someone submitting them individually every cycle. Recipients with duplicate or unclear address data, or a mailing outside the approved schedule, are flagged for a person to confirm before anything goes through DocuPost.

Delivery Status Updates

Where DocuPost provides delivery confirmation or status information for a mailing, a Beam agent reads that status and applies the account's approved rule to update the originating record, for example marking a letter as delivered or a postcard as undeliverable at the address on file. This keeps records current without a person checking mail status by hand after every batch goes out the door. Failed deliveries, returned mail, or statuses that don't match an expected value are routed to a person for follow up rather than being resolved automatically without a second look.
