Template Field Population
Docupilot fills a predefined template, such as a contract, agreement, or form, using data supplied from a connected system. A Beam agent starts this when a matching event occurs, for example a deal closing or a form being submitted, reads the needed fields from that event, and applies the account's approved rule for which template and fields apply. The finished document is delivered to the workflow or a person is notified it's ready. Fields that are missing, unexpected, or belong to an unrecognized template are routed to a person rather than filled in automatically.
Conditional Template Rules
Some Docupilot templates include conditional sections that should appear only when certain data is present, such as an extra clause for a specific contract type. A Beam agent evaluates the account's approved conditions against the source data and applies them when populating the template, so the right sections are included or left out. This removes the manual step of checking which version of a document applies to a given case. Where the data doesn't clearly match an approved condition, the agent routes the case to a person instead of guessing which sections belong.
Document Delivery to Connected Systems
Once a Docupilot document is generated, it often needs to reach another system, such as a signature tool, storage folder, or CRM record. Where the connector and account permissions allow it, a Beam agent delivers the finished document to that destination and updates the related record to show it's ready for the next step. This removes a manual handoff step between document generation and the system that needs the file. Deliveries that fail, involve an unrecognized destination, or fall outside the approved rule are routed to a person for manual handling.
