New Hire Record Setup

When someone joins the company, Convenia needs their employee record set up with role, department, and start date before payroll and benefits processes can run. A Beam agent reads the new hire details from wherever they're first entered, applies the approved rule for how the record should be structured, such as which fields are mandatory for that role type, and creates the record in Convenia. It notes anything missing rather than leaving an incomplete record in place. New hires with unusual arrangements, like a split role across departments, are routed to a human to set up.

Time Off Balance Updates

Convenia tracks each employee's time off balance, which changes every time a request is approved or a new accrual period begins. A Beam agent reads approved time off requests, applies the approved rule for how the balance should adjust, and updates the employee's record in Convenia so the balance is accurate for the next request. It flags any request that would take a balance negative. Requests that fall outside standard policy, such as an exception granted informally, are routed to a human before the balance is touched.

Employee Status Changes

Convenia records need updating whenever an employee's status changes, such as a promotion, a department transfer, or an end of employment. A Beam agent reads the status change once it's confirmed, applies the approved rule for which fields update and which downstream notifications go out, and makes the change in Convenia so the record reflects the current role and reporting line. It keeps a note of what changed and when for the record. Changes tied to a dispute, a termination, or anything outside the standard change types are routed to a human to process instead.
