Scan Clio's matter and time records, updating billing status and flagging matters nearing a statute of limitations deadline.
Statute of limitations tracking
Clio can hold a key limitations date against a matter, alongside other deadlines that affect the case. A Beam agent checks these dates on a regular schedule and, as a matter approaches its recorded deadline, updates a flag on the matter and notifies the responsible attorney under the firm's approved timing rule. It keeps every open matter checked without relying on a person reviewing dates by hand. When a deadline date is missing or looks inconsistent with the matter type, the agent does not guess; it routes the matter to the supervising attorney.
Time entry review
Clio logs time entries against matters as attorneys and staff record their work. A Beam agent reads new entries and checks them against the matter's billing arrangement, flagging entries that are missing a matter code or fall outside a typical range for that timekeeper. It prepares clean entries for the next invoice cycle so the billing team is not chasing corrections at the last minute. When an entry cannot be matched confidently to a matter or client, the agent leaves it unbilled and routes it to the billing coordinator rather than assigning it a guess.
Trust account reconciliation
Clio records trust transactions separately from the firm's operating account, tied to the matter they belong to. A Beam agent reads these transactions and checks that each one reconciles against the matter's recorded client funds, flagging any balance that does not match expected activity. It keeps the trust ledger current for compliance reporting required of US firms instead of leaving reconciliation to a monthly manual pass. Because trust fund handling carries strict compliance rules, the agent never adjusts an entry itself; any discrepancy goes straight to the trust account supervisor.
