Deadline and calendar tracking
Clio ties key dates, such as filing deadlines and court dates, to each matter's calendar. A Beam agent checks upcoming dates against today and, when a deadline falls within the window the firm has approved, notifies the responsible lawyer and updates the matter's task list. It keeps deadline tracking consistent across every open matter rather than relying on individual reminders. When a deadline has already passed without a recorded update, the agent does not mark the task complete; it routes the matter to the supervising lawyer immediately.
Document association
Clio links documents, such as filings, correspondence, and contracts, to the matter they belong to. A Beam agent checks new documents added to a matter and applies the approved rule, such as naming conventions or moving a document into the right folder within the matter file. It keeps a matter's document set organized as new files arrive. When a document appears misfiled or duplicates one already on record, the agent leaves it in place and routes the matter to the lawyer or paralegal responsible for it.
Billing and time records
Clio records billable time and matches it to each matter's fee arrangement. A Beam agent reads logged time and checks it against the matter's rate structure, preparing entries for the next invoice run under the firm's approved billing rule. It keeps the billing record aligned with time actually worked instead of relying on someone reviewing every entry by hand. When an entry lacks a matter reference or a rate does not match the client agreement, the agent leaves it out of the invoice and routes it to the billing coordinator for correction.
