Clio tracks every open matter along with its tasks, assigned lawyer, and due dates. A Beam agent checks task completion and matter milestones on a schedule, updating the matter's stage as work is finished and creating the next task in sequence where the firm's workflow calls for one. It keeps matters moving without a lawyer having to update status by hand for routine steps. When a task is overdue or a matter has no activity for an extended period, the agent routes it to the responsible lawyer instead of reassigning or closing it.

Client invoicing

Clio generates invoices from logged time and matter expenses. A Beam agent reads draft invoices and checks them against the matter's billing arrangement, correcting mismatched rates or missing entries where the rule allows, then marks the invoice ready for the lawyer's sign-off. It keeps invoices consistent with what was actually worked and recorded. When an invoice total looks unusually high or low compared to prior periods for the same matter, the agent holds it and routes it to the billing lead for a manual review before it is sent.

Trust accounting compliance

Clio separates trust funds from operating accounts and records every trust transaction against a matter. A Beam agent reads these transactions and checks that each one reconciles with the matter's recorded instructions, flagging any balance that does not match. It keeps the trust ledger current for the firm's compliance reporting instead of leaving reconciliation to a periodic manual pass. Because Canadian trust accounting rules leave no room for error, the agent never adjusts a trust entry itself; any mismatch is routed directly to the person responsible for trust compliance.
