Matter status tracking
Clio holds each legal matter's status, from intake through to close, along with the tasks and deadlines attached to it. A Beam agent checks matters against their key dates and, when a task is completed or a deadline passes, updates the matter's status and notifies the responsible solicitor. It keeps the firm's matter list reflecting real progress instead of relying on manual updates. When a deadline is missed or a matter's status conflicts with recorded activity, the agent does not close it out; it routes the matter to the supervising lawyer.
Time entry and billing records
Clio logs billable time against each matter and client. A Beam agent reads time entries as they are recorded and applies the firm's approved billing rule, matching entries to the right matter and preparing them for invoicing. It can total time across a billing period ahead of an invoice run. When an entry is missing a matter reference or looks inconsistent with a lawyer's usual pattern, the agent leaves it unbilled and routes it to the billing coordinator for a check before it reaches a client invoice.
Trust account records
Clio tracks trust account balances held on behalf of clients, separate from the firm's operating funds. A Beam agent reads trust transactions and reconciles them against matter records under the approved rule, flagging any movement that needs to match an invoice or a client instruction. It keeps the trust ledger current between reconciliations rather than waiting for a periodic manual check. Because trust funds carry compliance obligations, the agent never moves money itself; any discrepancy or unusual transaction is routed straight to the practice's trust account supervisor for review.
