Invoice and payment tracking
Clientary keeps client invoices, payment status, and outstanding balances in one ledger. A Beam agent checks this ledger on a schedule or when a payment is recorded, matching incoming payments to open invoices and marking them paid or partially paid under the approved rule. It can flag invoices that pass their due date and prepare a reminder before it goes out. When a payment does not match an invoice amount or a client disputes a charge, the agent leaves the invoice open and routes the case to the finance owner rather than closing it out.
Project and proposal status
Clientary tracks proposals, estimates, and projects from first draft through delivery. When a client accepts a proposal or a project milestone is reached, a Beam agent reads the current stage and moves the record to the next status, such as estimate to active project or milestone to invoiced. It can total hours across a billing period to prepare the next invoice run. When logged hours exceed a budget threshold or a contractor's entry looks inconsistent with prior weeks, the agent does not approve it automatically; it routes the entry to a manager for sign-off.
