Timesheet approval workflow

ClickTime collects time entries from employees against specific projects and tasks, then routes them through an approval step before they count toward reporting. A Beam agent reads submitted timesheets on a schedule, checking entries against an approved rule, such as confirming hours fall within a normal daily range before approving. Where the rule applies, the agent approves the entry directly and logs the action. Entries with hours well outside the normal range, missing a project code, or submitted late are routed to a person to approve or query before they are finalized.

Project budget hours

ClickTime tracks logged hours against a project's allotted budget, showing how much capacity remains as time is entered. A Beam agent reads a project's budget and logged hours after new time entries are approved, checking the remaining balance against an approved rule, such as notifying a project owner once hours pass a set percentage of budget. Where the rule applies, the agent sends the notification and updates a tracking field directly. Projects that exceed budget entirely, or where the remaining balance looks inconsistent with recent entries, are routed to a person to investigate.

Expense entries

Alongside time, ClickTime records expense entries tied to a project, including an amount, category, receipt, and note describing the cost. A Beam agent reads new expense entries as they are submitted, checking the amount and category against an approved policy, such as a per-category spending limit or a required receipt attachment. Entries within policy are approved and moved toward reimbursement or invoicing directly. Entries that exceed a limit, are missing a required category or receipt, or are tied to a project already over budget are routed to a person to review before they are approved.
