Submit documents to Click2Mail for physical printing and delivery, taking over routine correspondence work such as posting invoices, notices, or letters without manual printing and postage.
Print and mail jobs
Click2Mail takes a document and a mailing address and turns it into a printed, stamped letter sent through the postal system, without anyone handling paper. A Beam agent submits a job when a triggering event calls for physical mail, such as an overdue notice or a signed contract needing a hard copy, reading the recipient's address and document from the source record. Where an approved rule covers the case, the agent submits the print and mail job directly and logs the confirmation. Mail requests with an incomplete address or unusual document type are routed to a person before submission.
Mailpiece tracking
Click2Mail tracks a mailpiece through the postal system using an intelligent mail barcode, reporting status updates such as entered, in transit, and delivered. A Beam agent reads a mailpiece's tracking status on a schedule after it has been sent, checking it against an approved rule, such as flagging a piece that has not moved past a certain stage within an expected window. Where the rule applies, the agent updates the related record with the current status or triggers a follow up. Mail returned as undeliverable is routed to a person to check the address and resend.
Mailing list management
Click2Mail stores mailing lists of recipient addresses used for bulk letter and postcard jobs, including standardized and verified addresses. A Beam agent reads a mailing list before a bulk job goes out, checking new or updated addresses against an approved rule, such as confirming an address has passed standardization before inclusion. Where the rule applies, the agent adds or removes addresses on the list directly. Addresses that fail standardization, or entries flagged as duplicates, are routed to a person to correct before the list is used for a mailing.
