Send documents for e-signature

Boloforms sends a PDF or form to one or more signers and tracks the request until every signature is collected. A Beam agent triggers a send when a new document is ready, such as a signed offer letter or vendor agreement, reads the list of required signers from the approved workflow, and creates the signature request in Boloforms. It checks the request status afterward and records when it is completed. If a signer rejects the document or a field is left blank, the agent routes the case to the document owner rather than resending it automatically.

Collect and validate form responses

Boloforms can host structured forms that collect responses such as intake details, applications, or order information. A Beam agent reads new form submissions as they arrive, applies the validation rule the team approved, for example checking that a required field or attachment is present, and updates the record system with the clean data. It logs a timestamp and source for every submission it processes so the record stays auditable later on. It flags submissions that are incomplete or duplicate an existing entry. Responses that fail validation are routed to a person to follow up with the submitter directly.

Track signing status across documents

Every document sent through Boloforms carries a status, such as sent, viewed, signed, or expired, that updates as signers act on it. A Beam agent reads this status on a schedule, applies the reminder rule a team has set, such as nudging a signer after a set number of days, and sends the reminder through Boloforms. It logs each reminder sent and updates the internal tracker with the current status. Documents that expire without being signed, or that show unusual signer behavior, are routed to a person to decide next steps.
